Mapping a fragmented student engagement platform landscape across one of the UK's largest universities

The University of Southampton is a renowned research-intensive university, established in 1862 and a founding member of the Russell Group. It has a diverse student population of nearly 25,000, including a significant number of international students, and operates seven campuses.

Challenge

The University of Southampton needed a clearer understanding of its digital student engagement platforms to better support a large, geographically dispersed student population. Over time, multiple portals, endpoints, and supporting systems had been introduced, resulting in a fragmented and increasingly complex digital landscape.

Limited documentation made it difficult to assess system performance or understand how platforms interacted. Overlapping functionality created inefficiencies, while manual data transfers introduced risk and operational friction. Student feedback also highlighted performance issues and delays in key systems, such as timetabling, impacting the overall student experience. Without a consolidated view, the University lacked a clear foundation for future planning.

Solution

CCQ Tech was invited by SUMS Consulting to provide a technical assessment and analysis of the University’s digital student engagement ecosystem.

We conducted a comprehensive review of all relevant systems, documenting student-facing portals, endpoints, and supporting platforms alongside their use cases. This enabled us to identify overlapping functionality, technical dependencies, and opportunities for consolidation.

In parallel, we analysed operational input and student feedback to highlight pain points, performance issues, and areas of strength. Rather than recommending immediate technology changes, the focus was on defining a clear roadmap toward a future target architecture aligned with the University’s needs.

Platforms Assessed
  • Digital Student Engagement Platforms

  • Student Portals & Endpoints

  • Systems Architecture Review

  • Platform Use Case Mapping

  • Digital Experience Assessment

The Work
  • Assessed the university’s digital student engagement platform landscape

  • Documented all portals, endpoints, and supporting systems in use

  • Mapped use cases for each platform across the student journey

  • Identified overlapping functionality and platform duplication

  • Analysed student feedback to highlight pain points and opportunities for improvement

  • Produced recommendations to support future target architecture planning

Results

CCQ Tech delivered a clear and structured view of the University of Southampton’s digital student engagement landscape. The findings highlighted where systems overlapped, where platforms performed well, and where targeted improvements could enhance the student experience.

Our recommendations provided a practical framework for reducing complexity, addressing key issues, and planning future enhancements in a coordinated way. The University is now better positioned to make informed decisions and evolve its digital engagement strategy with confidence.
